VoxeraX Privacy Policy

Introduction

This Privacy Policy explains how VoxeraX collects, uses, stores, shares, and protects personal information when you access or use the VoxeraX website, applications, APIs, if made available, and related products and services collectively referred to as the “Services.”

Your use of the Services is also governed by the VoxeraX Terms of Service. The Terms of Service describe the rules that apply when you use VoxeraX, while this Privacy Policy focuses on how information is handled in connection with that use. Capitalized terms that are not defined in this Privacy Policy have the meanings given to them in the Terms of Service.

In this Privacy Policy, “personal information” means information that identifies, relates to, describes, or could reasonably be linked with an individual. Depending on where you live, similar information may also be called “personal data” or “personally identifiable information.”

1. Categories of Personal Information We Collect

The types of information we collect depend on how you interact with VoxeraX, which features you use, and whether you create an account or purchase a subscription. We may collect the following categories of information:

  • Account and profile information, such as your name, email address, account identifier, authentication details, account preferences, and communication settings.
  • Billing and transaction information, such as subscription status, purchase history, billing contact details, invoices, payment method type, and limited payment information provided by our payment processor. VoxeraX does not generally store complete payment-card numbers.
  • User Content, including text, prompts, audio files, voice samples, generated voices, transcripts, project names, saved outputs, and other materials you upload to or create through the Services.
  • Support and communications information, including messages, feedback, feature requests, survey responses, attachments, and other information you provide when contacting VoxeraX.
  • Device and technical information, including IP address, browser type, device type, operating system, language, time zone, device or browser identifiers, diagnostic information, and crash logs.
  • Usage information, including pages viewed, features used, actions taken, timestamps, session details, request metadata, and interactions with the Services.
  • Cookie and similar-technology information used to maintain sessions, remember preferences, understand usage, detect abuse, and improve security.

Some information may be necessary for us to provide a requested feature. For example, voice cloning requires an audio sample, and paid subscriptions require billing information to be processed by our payment provider. If you choose not to provide information that is necessary for a feature, that feature may not be available to you.

Please avoid including unnecessary personal information in prompts, audio uploads, voice samples, transcripts, or other content. You remain responsible for ensuring that you have the rights and permissions required to provide any personal information contained in User Content.

2. Sources of Information

We collect information from several sources so that we can provide and protect the Services effectively. These sources include:

  • Directly from you when you create an account, upload content, subscribe to a paid plan, communicate with us, submit feedback, or otherwise use the Services.
  • Automatically from your browser, device, and interactions with the Services, including through cookies, server logs, security logs, and similar technologies.
  • From service providers that support authentication, payments, hosting, storage, analytics, communications, fraud prevention, and AI processing.
  • From third parties you choose to connect to VoxeraX, such as an authentication provider, where you authorize that connection.

When you sign in through a third-party authentication provider, we may receive basic account information such as your name, email address, profile image, or authentication identifier, depending on the provider and the permissions you approve.

3. How We Use Personal Information

We use personal information to operate VoxeraX, deliver the features you request, protect the platform, and meet our legal responsibilities. In particular, we may use information to:

  • Create, maintain, authenticate, and secure user accounts.
  • Provide text-to-speech, speech-to-text, voice cloning, Voice Design, storage, and related features.
  • Process subscriptions, payments, credits, usage allowances, and account entitlements.
  • Save user settings, projects, generated outputs, and other account-related preferences.
  • Respond to support requests, investigate technical issues, and communicate about the Services.
  • Send important account, billing, security, policy, and service-related notices.
  • Detect, prevent, and investigate fraud, abuse, unauthorized access, security incidents, and violations of our policies.
  • Monitor performance, troubleshoot errors, maintain availability, and improve the reliability and usability of the Services.
  • Comply with legal obligations, respond to lawful requests, enforce agreements, and protect the rights and safety of VoxeraX, our users, and others.
  • Send product updates, newsletters, or marketing communications where permitted by law. You may opt out of non-essential marketing communications at any time.

We use personal information only for the purposes described in this Privacy Policy or for purposes that are reasonably compatible with them. If we plan to use personal information for a materially different purpose, we will provide additional notice or obtain consent where required by law.

4. Voice Samples, Audio, and AI Processing

VoxeraX processes voice samples, audio files, prompts, transcripts, and related User Content to perform the functions you request. These functions may include creating speech, cloning a voice, designing a new voice, transcribing audio, saving projects, and delivering generated outputs.

Voice samples and audio files may contain information that identifies or relates to an individual. Depending on applicable law and how a voice sample is used, certain voice information may be treated as biometric or other sensitive personal information. VoxeraX processes this information only as necessary to provide the requested Services, protect the platform, or comply with applicable law.

VoxeraX does not use voice samples or private content to infer unrelated personal characteristics, make decisions about users that produce legal or similarly significant effects, or build advertising profiles.

Processing may involve trusted third-party AI and infrastructure providers acting on our behalf. These providers may receive the information necessary to complete your request, subject to contractual, technical, and legal safeguards appropriate to their role.

VoxeraX does not use your private voice samples or private content to train public AI models without your explicit consent. This commitment does not prevent VoxeraX from using aggregated or de-identified operational information to improve security, reliability, and service performance.

We may create temporary technical copies of content where reasonably necessary to process requests, generate outputs, maintain security, troubleshoot errors, or operate the Services. These temporary copies are handled in accordance with this Privacy Policy.

5. Aggregated and De-Identified Information

VoxeraX may create aggregated, anonymized, or de-identified information by removing or modifying details that could reasonably identify you. This information may be used to understand general usage patterns, measure performance, identify product issues, improve security, conduct internal research, and develop new features.

Because properly aggregated or de-identified information does not identify an individual, it may not be treated as personal information under some privacy laws. We do not attempt to re-identify properly de-identified information except where permitted by law for testing privacy or security protections.

Aggregated or de-identified information is not used to train public AI models on your private voice samples or private content.

6. Purposes of Processing and Legal Bases

Where laws such as the General Data Protection Regulation or UK GDPR require us to identify a legal basis for processing, VoxeraX relies on one or more of the following grounds depending on the circumstances:

  • Providing the Services and managing accounts: processing is necessary to enter into or perform our contract with you.
  • Voice generation, voice cloning, transcription, and related AI processing: processing is necessary to provide the feature or output you requested.
  • Billing and subscriptions: processing is necessary to perform our contract with you and to maintain required financial records.
  • Customer support and service communications: processing is necessary to perform our contract with you or for our legitimate interests in supporting users and operating the platform.
  • Security, fraud prevention, abuse detection, and platform protection: processing is based on our legitimate interests in maintaining a safe and reliable service and may also be necessary to perform our contract with you.
  • Analytics, troubleshooting, and service improvement: processing is based on our legitimate interests in understanding and improving how the Services function.
  • Compliance with legal requirements: processing is necessary to comply with applicable laws, court orders, regulatory duties, and lawful governmental requests.
  • Marketing communications: processing is based on consent where required or on legitimate interests where permitted by applicable law.

When we rely on legitimate interests, we consider whether those interests are reasonable, necessary, and appropriately balanced against your rights and expectations. You may have the right to object to certain processing based on legitimate interests.

Where processing is based on consent, you may withdraw that consent at any time. Withdrawal applies going forward and does not affect the lawfulness of processing that occurred before consent was withdrawn.

7. How We Share Information

We do not disclose personal information simply because it is useful to another company. We share information only where reasonably necessary for the purposes described in this Privacy Policy, including in the following circumstances:

  • Service providers. We may share information with providers that perform hosting, cloud storage, authentication, payment processing, AI processing, analytics, email delivery, customer support, monitoring, and security services.
  • At your direction. We may share information with a third party when you request, authorize, or enable the disclosure, such as when using an integration or sharing an output.
  • Legal and safety purposes. We may disclose information where required by law, legal process, court order, or governmental request, or where we reasonably believe disclosure is necessary to protect rights, property, safety, platform integrity, or users.
  • Business transfers. If VoxeraX is involved in a merger, acquisition, financing, corporate reorganization, sale of assets, bankruptcy, or similar transaction, information may be transferred as part of that transaction, subject to applicable law.
  • Professional advisers. We may disclose information to legal, accounting, insurance, audit, and other professional advisers where reasonably necessary.

Service providers are expected to process information only for the services they perform for VoxeraX or as otherwise permitted by law. The exact providers we use may change over time as the Services develop.

VoxeraX does not sell personal information as that term is defined under applicable privacy laws. We also do not share personal information for cross-context behavioral advertising unless we clearly disclose that practice and provide any legally required choices.

8. Third-Party Services and Links

The Services may rely on or link to third-party websites, platforms, payment services, authentication services, and AI providers. When you interact directly with a third party, that third party may collect information under its own privacy policy and terms.

This Privacy Policy does not govern the privacy practices of third parties that VoxeraX does not own or control. We encourage you to review the privacy policies of any third-party service you choose to use with VoxeraX.

A link to a third-party service does not mean that VoxeraX endorses or is responsible for that service’s privacy, security, content, or practices.

9. Cookies and Similar Technologies

VoxeraX may use cookies and similar technologies to operate, protect, and improve the Services. Cookies are small files or identifiers stored on or associated with your browser or device. They help the Services recognize sessions, remember settings, and understand how features are used.

The cookies and similar technologies we use may include:

  • Essential cookies, which support login, security, fraud prevention, account sessions, and core functionality.
  • Functional cookies, which remember preferences such as language, interface settings, or previously selected options.
  • Analytics cookies, which help us understand how users interact with the Services, identify errors, and improve performance and usability.

Some cookies remain only for the duration of a browser session, while others may remain for a longer period so that preferences can be remembered. You can manage or delete cookies through your browser settings or any cookie controls made available through the Services.

Disabling certain cookies may prevent parts of the Services from functioning correctly. VoxeraX does not currently respond to browser “Do Not Track” signals unless required by applicable law. Where legally required, we will request consent before using non-essential cookies.

10. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy. The appropriate retention period depends on the type of information, the reason it was collected, the sensitivity of the information, our relationship with you, and applicable legal or contractual requirements.

We may retain information to provide the Services, comply with legal obligations, resolve disputes, collect amounts owed, prevent fraud, maintain security, investigate abuse, and enforce our agreements. Examples include:

  • Account information is generally retained while your account remains active and for a limited period afterward where needed for legal, security, or administrative purposes.
  • Billing and transaction records may be retained as required by tax, accounting, anti-fraud, or other applicable laws.
  • Diagnostic and security logs may be retained for a limited period for troubleshooting, abuse prevention, and platform protection.
  • User Content is retained while needed to provide the Services or until you delete it, subject to lawful retention exceptions.
  • Deleted content may remain in encrypted or secure backup systems for a limited period before routine deletion or overwriting.
  • Support communications may be retained for customer service, dispute resolution, security, and recordkeeping purposes.

When information is no longer needed, we take reasonable steps to delete it, anonymize it, or place it beyond ordinary use. Aggregated or properly de-identified information may be retained for longer because it does not identify you.

11. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards are selected based on the nature of the information and the risks associated with processing it.

Security measures may include access controls, encryption where appropriate, monitoring, logging, provider reviews, account-protection measures, backups, and procedures for responding to suspected incidents.

No method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security. You are also responsible for maintaining the confidentiality of your account credentials, choosing a strong and unique password, securing your devices, and notifying us if you suspect unauthorized account access.

12. International Data Transfers

VoxeraX and its service providers may process information in countries other than the country where you live. Those countries may have privacy and data-protection laws that differ from the laws in your jurisdiction.

Where required by applicable law, we use appropriate safeguards for international transfers. These safeguards may include approved contractual clauses, transfers to countries recognized as providing adequate protection, consent where appropriate, or other lawful transfer mechanisms.

13. Your Privacy Rights

Depending on your location and applicable law, you may have rights regarding the personal information we maintain about you. These rights may include the ability to:

  • Request confirmation of whether we process your personal information and obtain access to that information.
  • Request correction of inaccurate or incomplete personal information.
  • Request deletion of personal information, subject to legal exceptions.
  • Request restriction of or object to certain processing.
  • Receive certain personal information in a structured, commonly used, and portable format where applicable.
  • Withdraw consent where processing is based on consent.
  • Opt out of non-essential marketing communications.
  • Request information about categories of third parties with whom personal information has been shared, where required by law.
  • Lodge a complaint with a competent data-protection authority.

We may ask you to verify your identity, account ownership, location, or authority to act on behalf of another person before completing a request. Verification helps prevent unauthorized access to or deletion of personal information.

Privacy rights are not absolute. We may deny or limit a request where permitted or required by law, including where we cannot verify identity, the request is manifestly unfounded or excessive, disclosure would affect the rights of another person, or an applicable legal exception applies.

We will not unlawfully discriminate against you for exercising your privacy rights.

14. Account and Content Deletion

You may request account deletion through available account settings or by contacting VoxeraX Support. Account deletion may result in permanent removal of saved voices, generated audio, transcripts, projects, and related account data.

Before deleting your account, you should download or save any content you want to keep. Deleted data may not be recoverable after the deletion process has been completed.

Certain information may be retained where required by law or reasonably necessary for fraud prevention, security, accounting, dispute resolution, enforcement of our Terms of Service, or the establishment, exercise, or defense of legal claims.

15. Children’s Privacy

VoxeraX is not intended to be used by children except as permitted under the eligibility requirements in our Terms of Service and applicable law.

We do not knowingly collect personal information from children in violation of applicable law. If parental or guardian permission is required, the parent or guardian is responsible for supervising the child’s use of the Services and ensuring that information is provided lawfully.

Users must not upload voice samples or other personal information belonging to a child unless they have all permissions required by applicable law. If you believe a child has provided personal information without the required authorization, contact us so we can review and take appropriate action.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to the Services, our data practices, legal requirements, or other operational needs.

When we make material changes, we will update the Effective Date and may provide notice through the Services, by email, or through another appropriate method. Where applicable law requires consent to a material change, we will request that consent.
